Terms of Service
The agreement for using WatchRoom.

These Terms of Service govern your use of WatchRoom, operated by Ladiga Studios LLC. Please read them together with our Privacy Policy.
1. Acceptance of these terms
These Terms of Service (“Terms”) are a contract between Ladiga Studios LLC, which operates WatchRoom (“WatchRoom,” “we,” “us”), and the organization that uses WatchRoom (“you” or “your department”). By creating an account or using WatchRoom, you agree to these Terms.
If you accept these Terms on behalf of a fire department or other organization, you represent that you are authorized to bind that organization.
2. What WatchRoom does
WatchRoom is a records-management and ISO/PPC-readiness tool for fire departments. It lets you store and organize department records and produces estimates of ISO/Public Protection Classification readiness.
WatchRoom’s readiness figures are estimates for your internal planning only. WatchRoom is not affiliated with, endorsed by, or a substitute for the official rating organization. Official scoring is performed by Verisk/ISO, and your official classification may differ from WatchRoom’s estimate. You should not treat WatchRoom’s estimates as an official rating or as a guarantee of any rating outcome.
3. Accounts and acceptable use
You are responsible for keeping your login credentials secure and for activity under your account. Notify us promptly of any unauthorized use.
You agree not to:
- Use WatchRoom for any unlawful purpose or in violation of these Terms.
- Upload data you do not have the right to upload, or that infringes anyone’s rights.
- Attempt to access another department’s data, breach security, or disrupt the service.
- Reverse-engineer, resell, or misuse the service.
We may suspend or terminate access for violations of these Terms.
4. Your data and ownership
Your department owns the records it enters into WatchRoom. You grant us only the limited license needed to host, process, and display that data to operate the service for you.
You are responsible for having the right to upload the information you enter (including members’ personal information) and for keeping it accurate.
We store and process your data in accordance with our Privacy Policy. You can export your records at any time, and we will never charge you to retrieve your own data. If you cancel, we provide a 30-day export window and then delete your data as described in the Privacy Policy.
5. Fees, billing, and renewal
WatchRoom is offered as a subscription, with pricing based on department size. You may choose a monthly or an annual plan; the annual plan is offered at a discount. A one-time setup fee may apply. Specific current pricing is provided to you at sign-up or by quote.
New departments may start with a free trial. At the end of the trial, the subscription begins only if you choose to continue; we will not charge you automatically without your decision to subscribe. The current trial length is shown at sign-up.
Subscriptions are billed in advance — monthly plans each month, annual plans each year — and renew automatically for successive terms of the same length unless you cancel before the renewal date. We will provide advance notice of any change in price before it takes effect.
Fees are non-refundable. If you cancel, your service continues through the end of the period you have already paid for (the rest of the current month or year), and it will not renew. You are responsible for any applicable taxes. If a payment fails or is past due, we may suspend the service after notice.
Payments are processed by Stripe; by subscribing you also agree to Stripe’s applicable terms.
6. Third-party and AI features
WatchRoom relies on third-party providers for hosting, storage, transcription, AI processing, email, and payments. Their availability is not guaranteed, and brief interruptions may occur.
Features that use artificial intelligence — including voice transcription, extraction of records from voice or files, data categorization, ISO-readiness estimates, and report text — may produce errors. WatchRoom presents these for your review before saving, and you are responsible for reviewing and confirming entries before relying on them.
7. Intellectual property
WatchRoom, including its software, design, and brand, is owned by Ladiga Studios LLC and protected by law. We grant you a limited, non-exclusive, non-transferable license to use the service during your subscription. This does not transfer any ownership of the software or brand to you. Your data remains yours.
8. Disclaimer of warranties
WatchRoom is provided “as is” and “as available,” without warranties of any kind, whether express or implied, to the fullest extent permitted by law. We do not warrant that the service will be uninterrupted or error-free, or that readiness estimates will match any official ISO rating.
9. Limitation of liability
To the fullest extent permitted by law, WatchRoom and Ladiga Studios LLC will not be liable for indirect, incidental, special, or consequential damages, and our total liability for any claim will not exceed the fees you paid for the service in the twelve months before the claim.
Note: certain limitations of liability may not be enforceable in all situations, including where the customer is a government entity. We recommend a licensed attorney review this section for your specific contracts.
10. Indemnification
You agree to indemnify and hold harmless Ladiga Studios LLC from claims arising out of data you upload that you did not have the right to upload, or your violation of these Terms or applicable law, to the extent permitted by law. Because indemnification terms may be limited or require special wording for government entities, we recommend a licensed attorney review this section for your specific contracts.
11. Term, suspension, and termination
Either party may terminate as described in these Terms or your order. On termination, your right to use the service ends; you may export your data during the 30-day export window described in the Privacy Policy, after which it is deleted. Sections that by their nature should survive termination (such as data ownership, disclaimers, and limitation of liability) will survive.
12. Governing law and disputes
These Terms are governed by the laws of the State of Alabama, without regard to conflict-of-laws rules. The parties agree to attempt to resolve any dispute informally first by contacting support@getwatchroom.com. We recommend a licensed attorney confirm the dispute-resolution approach (such as venue or arbitration) for your specific contracts, as government-entity contracting rules may affect it.
13. Changes and contact
We may update these Terms from time to time. If we make a material change, we will update the date below and notify you as appropriate; continued use after a change means you accept the updated Terms.
